Overview

UpsideDown Moments is seeking a detail-oriented, creative, and organized individual to manage the communication channels that connect us with the community. The Communications & Outreach Coordinator will support our mission by maintaining our online presence, creating outreach materials, and helping us engage supporters through email and social media. We have 2 volunteers that will report to this lead role.

Key Responsibilities

Social Media Management

Develop and schedule engaging content across Facebook, Instagram, LinkedIn, and other platforms.

Monitor engagement and respond to messages/comments promptly.

Track analytics to inform future strategies.

Email Campaigns & Newsletters

Design and send monthly email newsletters using Wix.

Create targeted email campaigns for events, donation drives, or announcements.

Design & Print Materials

Create flyers, postcards, and other promotional materials as needed.

Collaborate with staff to ensure materials align with event goals and branding.

Participation & Collaboration

Attend one UpsideDown Moments event annually to capture content and engage with the community.

Participate in monthly virtual or in-person team meetings to stay aligned with organizational goals.

Qualifications

Experience in communications, marketing, graphic design, or related field (professional or volunteer).

Proficiency in Canva, and social media platforms.

Strong writing and editing skills.

Organized, proactive, and able to work independently with minimal supervision.

Passion for serving youth in foster care and aged-out populations.

Bonus Skills (Not Required)

Basic photography or video editing

Experience with website updates (Wix preferred)

A Bingo in the Winter, Loudoun KidzFest in the spring and a Gala of some sort in the fall. This role ensures every detail—from sponsorship outreach to thank-you follow-ups—is managed with care and professionalism to maximize impact and community engagement.

Key Responsibilities:

Event Planning & Logistics: Identify and secure event venues, coordinate setup and layout, and ensure all event details run smoothly.

Sponsorship Coordination: Track sponsorships, maintain communication with sponsors, and ensure proper recognition before, during, and after the event.

Donated Items Management: Solicit and track donated items for raffles, auctions, or giveaways; organize acknowledgment and documentation of all contributions.

Vendor & Partner Communication: Serve as the primary point of contact with vendors, entertainment, and community partners to keep all event communications on schedule.

Guest & Donor Communication: Support invitations, confirmations, and post-event thank-you messages to guests and supporters.

Budget Oversight: Assist with tracking event expenses to ensure responsible use of funds.

Currently we have 135 kids registered, but we expect about 100 more. Right now, we are seeking donations of clothing sizes 0–Large to make sure every child has something warm, comfortable, and new-to-them.

✨ Every shirt, jacket, and pair of pants donated makes a difference for a child who deserves to feel cared for and confident.

Together, we can keep kids cozy and cared for this fall. Thank you for being part of this mission!
